Entry Media Specifications
There are two parts to each entry: the art work and the write-up. The 6 pieces of artwork can be submitted with a thumbnail. If a thumbnail is not supplied, a button that says “Click here to view file” will take its place. The artwork can contain images, videos or audio files. The write-up should outline all the criteria for your chosen category. Write-up text supplied in the artwork area may not be considered for judging.
Name your files with short titles containing no spaces, dashes or symbols. All file names should be lowercase and contain an extension. For example, files should be named "image1.jpg" or "photoa.pdf" (The online system actually renames files with a special code as they are uploaded, so files named on your computer will not be seen by anyone. These recommendations are made to ensure trouble-free uploading.)
Image file specifications
You may submit images in any of three formats: PDF, GIF, or JPEG.
GIF (.gif) files 72dpi and indexed color mode. If you submit a .gif image, you will need to submit the same image in two sizes, thumbnail and larger view. When the judges click on the thumbnail images in your entry, the larger view will pop up. The thumbnail image size may not exceed 150 pixels in height or width, and the thumbnail file size may not exceed 20k. The larger view image size may not exceed 400 pixels in width or height, and the larger view file size may exceed 250k.
JPEG (.jpg) files 72dpi and RGB color mode. If you submit a .jpg image, you will need to submit the same image in two sizes, thumbnail and larger view. When the judges click on the thumbnail images in your entry, the larger view will pop up. The thumbnail image size may not exceed 150 pixels in width or height, and the thumbnail file size should may exceed 20k. The larger view image size may not exceed 400 pixels in width or height, and the larger view file size may exceed 250k.
PDF (.pdf) files can contain one or multiple pages of materials for your entry. When uploading a PDF file. The PDF file must be under 1MB. There are no page size restrictions for a PDF. PDFs cannot contain the written text of your entry, that information must be entered into the online system. Entries with PDFs that contain their entry text may be disqualified.
Logo: Each entry should be accompanied by a logo. The logo should be formatted as a .gif or .jpg and should follow the same specifications as required for .gif or .jpg images for both the thumbnail and larger size.
Audio file specifications:
You may submit audio files in .mp3, .wav, RealAudio/RealMedia (ra, .rm, .rmx, .rmj, .rm), or Windows Media Audio (.wma). Audio file sizes cannot exceed 2mb.
Video file specifications:
You may submit video files in QuickTime (.mov), Windows Media Player format (.wmv), RealAudio/RealMedia (ra, .rm, .rmx, .rmj, .rm), MPEG format (.mpg), and Flash (.fla). Video or Flash file sizes cannot exceed 10mb.
Web sites as part of your entry:
Entrants are able to enter Web site addresses within the text of their entries. The relevance of any Web sites included in an entry should be discussed with in the written content of the entry. These addresses will appear as hyperlinks to the judges. It is recommended that entrants supply screens of the Web site rather than linking to an outside site, as it is possible that a Web site could change before judging or be unavailable during judging. The addresses should be discussed within the text, not merely listed, and links to an outside site that contains the text of your entry are not permitted.
Important notes about file sizes
Since the recognition program is taking place online, the artwork components of your entry will be formatted accordingly. Because there are file size restrictions for the artwork, you may find it necessary to compromise on the artwork's quality in order to adhere to the file size restrictions. The clarity and quality of images, audio and video will not be a part of the judging criteria. However, it will be necessary for the judges to be able to view and/or hear the artwork clearly so that they can appreciate the importance of the campaign you are submitting. The personnel or agencies that prepare your artwork for the entry will be able to offer a variety of suggestions so you can edit the artwork to adhere to the specifications while maintaining its integrity.
