Submission Process

New Online Entry System
A new and improved online submission interface makes it even easier for you to showcase your organizations accomplishments.

It's Easy to Submit an Entry for the SITE Crystal Awards!
Each online entry should include the following components:

  • Entry submission form containing basic information about your entry and your company
  • Entry Write-Up
  • Media files including electronic photos, images, video, or audio files that you will upload to the Web site; Click Here for file specifications.
  • Physical samples (optional). Click Here, for more details.
  • Payment for entry fee(s). Fees are securely processed online as part of your entry submission.

Entry Fee

  • SITE member: $200 US per entry
  • Non-member: $500 US per entry
  • Physical Sample Processing Fee: $75 US per entry

All information for your entry including program details, electronic files and the entry fee must be supplied via the new and improved Crystal Online Entry System which will available beginning 23 April. This will not only save you valuable time and money, but will ensure a level judging environment.

Tip:
Start early! You can enter and save your work enabling you to return to the Crystal Online Entry System anytime until you are ready to submit your completed entry. The online entry system opens 23 April 2008 and will be available through 25 July 2008.

How the Entry Process Works

1.) Go to the new and improved SITE Web site Crystal Awards link. Enter your personal information here, including your email address which will be your username, and select a password. You will use this username and password to log back into the system.

2.) After submitting the Entry Sign-Up form, click on the link to go to your Member's Dashboard. This page has the links to all of the areas where you will work on your entry. After signing up, you will receive an email confirmation with your username and password

3.) Click on "Add New Entry " to submit your entry. You may add as many entries as you want under your login.

4.) Upload your Supporting Materials: Supporting materials can include anything from electronic photos, Power Point presentations, PDF's, videos, audio files, etc. You may upload as many files as you like. Simply click on "Upload More." Be sure to add a title and description.

5. Add Reference Sites: You may add reference websites if you like. Click "Add Site." Please be sure to add a description of your reference website. Reference websites are not required.

6. Enter Entry Content: To submit your entry write-up, click "Edit" to answer the required questions. Be sure to "Save" your responses.

7.) Submit entry payment: The cost for members is $200 US for SITE members and $500 US for non-members. If you choose to submit a physical sample there is an additional cost of $75 US.

The entry system allows you to pay the entry fee online, using a credit card through SITE's secured Verisign account.

If you do not wish to pay the entry fee online, please email SITE Headquarters at crystal@site-intl.org to make other arrangements.

8.) Submit your entry: This is the final step! If you finalize your entry and later decide you need to make a change, please send an email to crystal@site-intl.org for assistance.

9.) Edit Your Login, Contact and Entry Information: this area allows you to edit your original information, including any partner credits.

NOTE: Only entries marked both final and paid will be eligible for a Crystal Award.

Submitting Physical Samples
Each entrant is allowed to send physical samples to accompany their submission. Entrants may only provide physical samples used in the incentive program for which the entry is being submitted. While this is not a requirement, physical samples further the understanding of your submission. Without physical samples, the judges will rely on your submission narrative and photos to illustrate your program.

All samples must be postage-paid, and are due by 25 July 2008 to:

Please note: If you elect to send a physical sample, please send four (4) samples so that each judge has the opportunity to evaluate your submission. One physical sample will be kept on file at SITE Headquarters.

The cost is US $75 per entry (to cover shipping and handling) which can be paid through the online system.

All samples must be shipped using a trackable service not to exceed 18x13x3 inches and five 5 pounds in weight .

All samples submitted become property of SITE and will not be returned

Notice:
This is not a requirement and your submission of physical examples does not guarantee a higher entry evaluation score by the judges. Judges evaluate entries based solely on the success of the program in total against a defined set of standards of excellence. Judges are instructed not to weigh any single tactic or element within a program against those used in other programs. Your entry should include any justification why your incentive program, as a whole, is worthy of a SITE Crystal Award and not focus on any one tactic or element used in the program.
